Why embracing Virtual Communication is so important for your business
As the world’s population remains subject to the restrictions of the Covid-19 pandemic, we have been forced to re-think conventional methods of doing business. It is no longer viable to fly out to meet a new client, meet with colleagues in-person or participate in face-to-face learning and development, therefore, it is no surprise that virtual learning and communication is on the rise.
The rise of virtual communication has been – and will continue to remain – central to the continuation of business and the nurturing of business relationships. Virtual platforms such as Zoom, Google Meet and Microsoft Teams allow businesses accessibility to their client base and colleagues with just the touch of a button. There are clear advantages to virtual communication and without it, you have to wonder how countless businesses would have survived.
Inclusivity
Studies show that the rise of virtual technology has made social learning and meeting environments more inclusive. Features such as chat bars and hand-raising options have allowed individuals who feel uncomfortable within a crowded group environment to fully engage with their peers. In addition, it has become easier to be heard, as individuals can share their thoughts and opinions which can later be reviewed and answered by the meeting coordinator.
Cost saving
Virtual communications platforms have disregarded the need to rent suitable office/teaching spaces and the necessities that come with, such as providing refreshments for guests and travel arrangements. The money saved here can be reinvested into other areas of learning and development which can later re-skill the workforce and potentially save jobs, generally improving a company’s bottom line.
Accessibility & Travel
Accessibility – from established transport links to ramps and lifts - should be a priority for employers in any work environment. However, virtual communication has decreased the emphasis on the need for accessibility and travel in the workplace, as business activities can be delivered online from the comfort of your own home. In addition, the emergence of virtual communication and meeting spaces have bridged the geographical gap between businesses and their international clientele. Virtual platforms now allow people from all over the world to meet without the added cost of travel and accommodation.
Having understood the clear advantages of virtual communication and meeting spaces, it is necessary to discuss the drawbacks. Virtual has few disadvantages for those that pursue it, but when done incorrectly it can be detrimental to your business and its reputation.
Complexity & Organisation
As virtual meetings increase, the skill of the coordinators and leaders who run the sessions effectively is of high importance. Virtual meetings and learning spaces are complex by nature and require advanced planning to be effective and time worthy. Studies have shown that many leaders plan less for virtual meetings than face-to-face meetings. However, given the volatility of technology, it is necessary to plan ahead and form contingencies should things go wrong in the online space. Often emphasis is placed on learning how to use the virtual technology, but this is not enough. According to Agnes Iozwiak (Brand Manager of ClickMeeting), “The priority should be on what you want to present, not on the tool you are presenting on”. The lack of preparation can result in virtual meetings and learning spaces that don’t have a defined purpose, veer off topic during discussion and don’t keep people engaged.
